How to share responses with others in your newsroom

Sharing responses with your colleagues is a great way to generate buy-in and encourage others to tackle the responses you've received.

Why it matters

When your colleagues see the responses coming in from your audience members, it's a great way to generate buy-in for your engagement work. They can see how audience input can not only slot into current reporting, but also take your newsroom's reporting in new directions. 

But in most organizations, only a few people have access to the Hearken EMS, which can limit who gets to see the gems of responses that could be informing what you cover. Here are six ways to give more people in your newsroom access to responses. 

How to share responses

  1. Add more people as users on your Hearken EMS! They can set up their own email notifications and then never log in again to see responses. The default is for a new user to receive notifications for all new responses, but each person can adjust that so they only receive notifications from embeds that they care about. 

  2. Set up a Slack integration so responses are funneled into a Slack channel where you can discuss them. 

  3. Put your favorite responses into a list and then from that list page, select "Printable Display" to get a just-text page that you can print or copy-and-paste from. (Lists are also created automatically when you create a new embed.) It can be helpful to bring a printable version of responses to a news meeting to share! 

  4. Put together a list embed that includes the list of responses you want to share with others, then use the "direct link" (which you can find the same place as the embed code). You can send that direct link to others and they'll be able to see the list, even if you don't have it embedded anywhere on your site. This is a good method for internal communication, especially for colleagues who may be tech-illiterate and whom you may not want to grant EMS access.

  5. Send a weekly or monthly newsletter around the office highlighting a handful of the best responses you’ve received. Similarly, take a moment in a weekly or monthly editorial meeting to talk about your favorites. 

  6. Assign an individual staff member to a response. A user can search their display name on the Responses page to view all the responses that have been assigned to them, and can accordingly adjust their work to address the community input.
