Learn how to receive email notifications every time a new audience submission is added to a list or automatic category

When you create an account for the Hearken Engagement Management System (EMS) you are automatically signed up to receive email notifications. The EMS checks for newly-submitted responses every hour and—if there are new responses—it sends each user an email update with the text of the responses and the respondent’s contact information.

By default, every user receives notifications about every response submitted to every embed in the EMS. But each user can also change their notification settings to suit their needs. You can opt to only receive notifications from certain lists (or automatic categories if you have automatic categorization enabled). Or you can turn off notifications altogether.

Note: Every time you create a new Form Embed, the EMS automatically creates an accompanying List by the same name. Every response submitted to that embed will be automatically added to that list. These automatic lists allow you to refine your notification controls so you can receive notifications on a embed by embed basis.

The Hearken EMS also integrates with Slack. Follow the instructions here if you’d prefer to receive notifications via Slack rather than email. (You can also do both!)

How to change your notification settings

To change your notification settings, click on the circle in the top left corner of your Hearken EMS. A drop-down menu will appear. Click on Email Notifications in that drop-down menu.

The User Notification Settings page will display your current settings. Every user will start with the same default setting: Will Notify for All New Responses.

In order to change those settings, click the Edit button and a window will appear displaying every list and automatic category you have created in the EMS. Check the box next to the lists and categories whose submissions you wish to receive notifications about.

Every embed has an associated list by default, which means you can choose to only receive notifications from a certain embed by checking the box next to that embed's list.

Note: You can check multiple boxes to receive responses from as many lists and categories as you’d like. If you want to stop receiving notifications you can simply uncheck any or all boxes.
